We spoke with Rafael Oseguera - a Digital Asset Manager and part of a Marketing team at Kavak about how they’re using the Pics.io digital asset management solution and its benefits for the company.

- Mr. Oseguera, what problem did you solve with the Pics.io DAM system? What was the main challenge?

We have been working for about seven years now, and we have many, many videos and photos in our library. We were storing them on Google Drive and looking for specific digital assets was total chaos. We’ve discovered that we have many videos that were never used. So, instead of looking for assets in our library that we could use later, we ended up creating more material so that we could work with our advertisements as soon as possible.

These videos were shot but never used, and now we are using them because we can easily find them. So now, with an organized DAM system we can reuse all the old material, all the old digital assets that we have.

"The main thing that drove us to you was that we could use our storage system based on our Google Drive system. All the other providers were charging lots of extra money for storage."

Rafael Oseguera, Senior Post Producer Analyst, Kavak

- Can you tell me which departments are using Pics.io DAM at Kavak?

Yes, these are mainly people from the marketing department, which is divided into graphic design, data production, and store management. We are calculating approximately 60 to 70 people.

- Do you work with contractors and agencies?

We have an internal agency for our marketing but we are going to work with third parties. I shared some files with them about a month ago using Pics.io, and it was much easier compared to Google Drive - it always gave us problems with sharing.

So, we are using websites. We are also storing our brand books on the websites.

- Great, and what about inboxes? Did you have a chance to try them out?

We haven't used them yet, but we are planning on using them. We sometimes hire third-party production agencies to film our TV assets and TV ads for our teams in other countries. They also hire some third parties, so we are going to use inboxes for them to send us all their assets.

- What are the advantages of the DAM system for you?

The file management and searching capabilities. The keywords are the most important thing we were looking for, so that we can find all the materials.
We also use custom fields mainly for approving digital assets.

- Can you estimate how much time Pics.io saves you monthly or weekly?

We were looking at about eight hours a week per person. It was taking us a lot of time to find the assets we needed. Now my colleagues say that they can find all the assets they need almost instantly, compared to about an hour.

"Searching for one video personally was taking me sometimes one hour on our Google Drive. So now this number has decreased to 2-3 minutes. And we are extremely happy about it."

- Do you use integrations, maybe Adobe products, Slack, or something else?

We are going to use the Adobe package integrations and Slack.

- Do you have a favorite feature in Pics.io?

Yeah, the keywords library - that's the main thing I'm using to categorize all our keywords. Personally, that's my favorite part.

The thing we found is that many, many, many DAMs are extremely similar. But the user interface in Pics.io is a lot more intuitive than others. Also, the file versions feature is much better integrated than what we have seen. That's what we like, simple and intuitive implementation of the features.

One thing I like a lot is that I can select files from different collections and share them so that I don't have to create a new folder, I don't have to go copying and pasting. I can go to the different collections that I have, select the files, and hit share. That's been extremely helpful for us, mainly to send files to third parties.

Thank you so much for the interview!
