Pics.io Customer Stories: Independent School

One of Pics.io's clients is an independent coeducational institution in Rhode Island, catering to students from nursery age through eighth grade. We talked with Marlon Henry about how the school is using Pics.io digital asset management solution.

- Could you tell me a bit about your organization?

It's a small school in East Providence, Rhode Island. We have a pretty robust photo archive that we've been managing for decades now. One of the reasons we started to look into Pics.io is because of challenges with maintaining multiple hard drives and finding digital asset management software that could handle all the pictures in our archive. We also wanted to make it cost-effective and simple enough for the communications director to use. We were looking for something that would allow us to have a backup of all our photos and videos. So, we found Pics.io and have been using it for 3 years now.

- What was the problem that you solved with Pics.io DAM?

There were many times when local storage of digital archives was corrupted or lost and we needed a solution that was a bit more robust and allowed for some redundancy.

Another issue was that assets were spread across several different tools. It was my dream to have them all under one house in one tool

- What is your current workflow?

One individual is doing most of the publications on our school’s website. We can share the load a bit with Pics.io because we can have different people uploading the photos, sharing them, and figuring out what are the appropriate photos for a publication. We use these photos for our website, print materials, and social media. So, these assets are used in a number of different places at least.

- Can you estimate how much time Pics.io saves you monthly or weekly?

It saves hours of work a month trying to track down where is stored a picture that other team members can't find.

- What are the advantages of a DAM system for you?

There are so many advantages of a digital asset management system! Do we take advantage of all of them? No, not currently. However, it shares the workload by having other users tag assets and keeping all nowhere-to-find assets in one place. And it just makes sifting through photos organized and efficient.

You get to use a larger portion of your archive because you're not just finding those things that are immediately accessible. You can look through your whole archive to find out what's available to you, and what's been tagged for different events. So, it has a lot of value, depending on how an organization chooses to utilize it.

- What is your favorite feature in Pics.io?

I really do love that it is built on top of Google Drive structure. It does make it simple to upload large amounts of photos. The speed of loading photos is my favorite too. It's a lot faster than many online digital asset management systems.
